Run your studio, not your spreadsheet
Members book classes and PT sessions online, waivers are done on their phone before the first session, and retention is a number you can see — not a feeling at renewal time.
Where it hurts
What the whiteboard cannot tell you
- The timetable lives in a WhatsApp group and a whiteboard; members ask "is 6 a.m. full?" by text.
- Waivers and PAR-Qs are a paper form somebody remembers to hand over at the door.
- A member who was twice a week in January and once a fortnight by March has already decided to leave — and nobody noticed.
- Instructors each have their own hours, and the owner is the only one who knows them.

Why Vin-G
Built for how studios actually run
Members book themselves
Classes, PT and inductions booked from a phone — no list to keep, no texts to answer.
Waivers before the first session
The waiver and PAR-Q land on the record before the member walks in.
See who is drifting
A falling visit rate is visible while there is still time to do something about it.
One timetable, every instructor
Each instructor's hours and classes in one view, so cover is sorted before the day.
Class timetables and member churn
A gym or studio runs on two clocks: the timetable and the membership cycle. The timetable is visible — classes, capacities, who is teaching. Members book their own spot, the class caps itself, and the waitlist fills the gap when somebody drops out an hour before.
The membership cycle is the one that quietly decides the year. A member who attended twice a week in January and once a fortnight by March has usually decided to leave before they say so. Attendance and retention sit in the same place as the timetable, so the drop-off is visible while there is still time to do something about it.
Waivers are the unglamorous part. A new member signing up for a class should complete a par-Q and waiver as part of joining, not as a form somebody remembers to hand over at the door. Shared as a link, completed on a phone, filed against the member.
In practice
Monday timetable
The week's classes are published once; members book their own spots from their phone; the 6 a.m. HIIT shows who is in without anyone keeping a list.
A new member joins
They book an induction, the confirmation carries the waiver and PAR-Q link, both are on the record before they walk in.
Retention review
Analytics flags members whose attendance has halved since the start of the quarter, so the free guest pass goes to that segment while there is still time.
Common questions
Can members book into a class with limited spaces?
Yes. Set a capacity per class and members book their own place, so the class fills without anybody managing a list.
Can I collect a waiver or par-Q at signup?
Yes. Build the form once and share it as a link at the point of joining; completed forms file against the member record.
Can I see which members are drifting?
Yes. Attendance and retention are tracked alongside revenue, so a falling visit rate is visible before the cancellation arrives.
Can different instructors have different timetables?
Yes. Availability and classes are set per staff member, so the booking page only offers what can actually be taught.
Does Vin-G handle recurring memberships?
Not yet. Bookings, member records and retention analytics are part of the suite today; membership billing and automatic monthly payments are not.
