For CA Firms, Law Chambers, Architects & Consultancies

Run every client engagement from one file

Client intake collected by form, engagement letters and documents filed against the client, consultations booked online and fees invoiced with GST — for chartered accountants, lawyers, architects, IT consultancies and the other small practices that sell expertise.

Where it hurts

The work around the work

  1. The client's documents arrive across email, chat and a pen drive, and someone has to file them.
  2. Proposals go out and nobody can say which ones are still open.
  3. Retainers are billed late and the reminder is never sent.

How a small practice runs its month

A small practice, whether chartered accountants, a law chamber, an architecture studio or an IT consultancy, is a set of client engagements. Each one starts the same way: an enquiry, a first consultation, and a pile of information the client has to send before any work can begin. An intake form shared as a link collects it once, with the consent checkbox in place, and the answers land against the client record.

The engagement then lives in its file. Letters of engagement, the documents the client sent, drafts and the final deliverable are kept against the client, so the partner and the associate open the same folder. Notes from each meeting stay on the record, and the pipeline shows which proposals are out and which have gone quiet.

Fees are where practices leak. A retainer billed late, a disbursement forgotten, a reminder never sent. Invoices go out with the GST split and an online payment link, and reports show revenue by client and service, so you can see which engagements pay for the time.

In practice

New client enquiry

The enquiry lands in the CRM; the client books a first consultation from the booking page and fills in the intake form the night before, so the meeting starts with the facts.

Engagement under way

The engagement letter, the documents the client sent and each draft sit in Documents against the client; meeting notes are on the record for the partner and the associate.

Month end

Retainer invoices go out with the GST split and a payment link; Analytics shows revenue by client and service, and which invoices are still outstanding.

Common questions

Is Vin-G a practice-management or tax-filing system?

No. Vin-G covers client records, intake forms, bookings, documents, invoices and reports. It does not file returns, keep statutory registers or record billable hours.

Can clients send their information before the first meeting?

Yes. Share an intake form as a link. The client fills it in without an account, the consent checkbox is required before the form can be published, and answers land on their record.

Where do engagement documents live?

In Documents, against the client. PDF tools (merge, compress, convert) run in your browser, and you can search across your files.

Can I invoice retainers and one-off fees with GST?

Yes. Invoices carry GSTIN, HSN/SAC and the CGST, SGST or IGST split, with reminders and an online payment link through Instamojo.

Can clients book a consultation online?

Yes. A public booking page offers the slots each partner or consultant has set as available. Clients do not need an account to book.
